Office Spring Cleaning Week: File Organization

Once you get a handle on the overwhelming piles of paperwork that often build up in your office, you’ll feel a sense of relief! Your office CAN be a serene place that inspires you. Unfortunately, many equate their office space with stress.

Lets change that! To kick off our Office Spring Cleaning Week, we will start by filing those mountains of paperwork.

Begin by thinking about how you will organize your papers. Do you have mostly letter or legal size papers? Where will they be stored?

Gather all your piles of papers into 1 spot-make sure to get all the loose pieces from the junk drawer, and any other places you might have tucked them into. I suggest you gather everything on a large table or flat surface, try the dining room table or even the floor.

Sort the papers so that like items go together. For instance, make one large pile for household bills, another for insurance, another for financial statements, etc. This step should help you determine your broad categories.

Next, sort within each category to get more specific. For example, within your household bills make separate piles for electric, gas, water, cable, etc.

Toss any outdated, expired papers.

Label clearly- label hanging files, and file folders and drop your papers in. We use 1/3 inch tabs and the large font on our PTouch labeler for easy reading. Make sure to label the interior folders so it is clear which hanging file they go into should they get separated from their hanging folder.


  1. If you are visual-try color coding your files-green for financial, red for medial, etc.
  2. If you have kids-each kid can have their own colored files so you can access their info quickly and easily.
  3. Sometimes life gets busy and you can’t file instantly-create a dedicated space to hold papers “to file” so you will know where papers are if you need them.
  4. Schedule time once a week for filing papers so you don’t get behind and your office stays orderly!
